Customer Design Approval Agreement
Purpose: This agreement ensures that all custom designs are clearly approved before production begins. It protects both you and the customer by confirming details, preventing misunderstandings, and establishing expectations.
1. Design Proofs
Root & Branch Woodworks will provide a digital proof or mockup showing the layout, text, engraving, or design elements requested. Proofs must be reviewed carefully by the customer for accuracy, including spelling, dates, measurements, and placement.
2. Customer Approval
By approving the design proof, the customer confirms that:
- All details are correct and final.
- They understand the design will be produced exactly as shown.
- Any changes requested after approval may result in additional fees or delays.
Approval may be given through:
- Email confirmation
- Etsy/Shopify message
- Signed form or checkbox at checkout
3. Production Timeline & Down Payment
Custom commissions require a non‑refundable down payment before any design work, material preparation, or production begins. Design proofs will not be created until the down payment is received.
All initial prices for custom work are provided as quotes. Final pricing may vary slightly based on final measurements, design adjustments, or material usage. Any change will be communicated before final invoicing.
Production begins only after both design approval and down‑payment confirmation. Once production has started, design changes or cancellations are no longer possible. If the customer chooses not to proceed after design approval, the down payment is forfeited.
4. Artistic Variation
Wood grain, tone, knots, and texture naturally vary. Final products may differ slightly from digital proofs due to the nature of handmade woodworking.
5. Marketing Consent
Approved custom designs may be photographed or filmed during production and after completion for marketing purposes unless the customer requests otherwise before production begins.
6. Liability
Root & Branch Woodworks is not responsible for errors present in the approved proof. If the final product differs from the approved design due to a shop error, a replacement or correction will be provided.
